How to evaluate a cruise fleet procurement system

A cruise fleet procurement system should carry one requisition record through quotation, approval, purchase order, goods receipt and three-way invoice matching, and tie that record to planned maintenance jobs and the stock record. Judge any candidate on offline operation onboard, multi-currency buying, and open integration with your ERP, supplier catalogs and the rest of your fleet data.

What a cruise fleet procurement system must cover

The baseline is one connected workflow from the onboard need to the recorded payment. PRIME Marine describes this as requisitions, suppliers, quotations, approvals, purchase orders, invoices, goods received and payment records in one workflow, so vessel, purchasing, finance and management teams all see what has been requested, ordered and received.

The table below sets each function against the record it should link to.

Requisition, quotation and approval

Crew raise the need, shore teams compare quotes, and approval chains follow value and category. Marine RFQ lets a vessel's master and crew send a requisition form filled in online or offline, routed through workflows set by content type or value.

Ask how much configuration you need. Faromo supports a default or category-specific chain with amount thresholds in the base currency, authorized roles and required co-signers, but says currency conversion and company authority policy must be managed separately. Where a supplier has a fixed-price contract, PRIME Marine lets a purchase order go straight to that vendor without a new enquiry. Competitive purchases still go through RFQs and quotation comparison.

Purchase orders, receiving and three-way matching

Match the purchase order, the supplier invoice and the goods received note, and send anything that does not match to dispute. Faromo compares one PO, its posted goods receipts and one supplier invoice, and a record outside the match moves to DISPUTED rather than APPROVED. It supports partial receipts and routes invoice variances to dispute using a default 2% tolerance.

Vendors differ in how much PO lifecycle they expose. Navatom tracks purchase orders through a 13-state workflow, from Draft through Partially Received, Received and Invoiced to Closed, with every transition enforced and audited. When you evaluate, configure two things: the tolerance at which a variance becomes a dispute, and which PO states allow receipt or invoicing. A 2% default may suit consumables but not engine spares, so ask whether tolerance can differ by category.

How procurement connects to planned maintenance and spares

Requisitions should link to jobs and equipment, and receipts should update stock. ShipSure says its Planned Maintenance and Inspection Manager both integrate with Procurement, so work orders and requisitions can link to specific jobs and inspection findings.

Check the detail. Faromo's requisition-line data model carries equipment and maintenance-job links, but its general web form does not expose those fields, so end-to-end linkage must be verified through integration or extra interface work. On the stock side, SERTICA checks inventory levels before a requisition is submitted, onboard and across the fleet, which prevents duplicate orders for parts already in a store.

Which identifiers and data standards let systems exchange data

Consistent item and equipment identifiers matter more than any single format. PRIME Marine's item records carry internal stock numbers, supplier part numbers and manufacturer information, so the same part is recognisable however it was ordered. That mapping is what lets a procurement system and a maintenance system agree on one part.

Know what codes do not prove. Faromo keeps the optional six-digit IMPA code on a requisition line but notes that it does not itself provide the licensed MSG catalogue and that a code does not verify equipment compatibility. Demand part number, specification and equipment link as well.

Integrating with ERP, accounting and vendor catalogs

Look for named connectors, a defined handoff to accounts payable and the general ledger, supplier portals and catalog links, then test each one. NOZZLE lists out-of-the-box integrations with SAP, Dynamics, IFS, Oracle and other accounting software. SpecTec's AMOS Procurement says it integrates with other AMOS modules and third-party ERP, finance and supply chain systems.

On the supplier side, SERTICA offers integration options such as SeaProc and ShipServ plus a PunchOut add-on, and NOZZLE fetches real-time prices from ShipServ and SeaProc. Marine RFQ offers access to internal and external catalogs, including IMPA catalogs. Ask for a live demonstration of an invoice reaching your ledger and a catalog price landing on a requisition.

Buying across ships with limited connectivity and many ports

Require offline entry with synchronisation, multi-currency buying and flexible delivery points, and verify offline per action. SERTICA says orders created onboard synchronize automatically once a connection returns. Faromo, by contrast, states that its current web requisition entry requires connectivity and that offline coverage is not claimed until verified by client and action during a pilot.

Turn that into a decision rule: ask each vendor to demonstrate offline requisition and offline goods receipt onboard, separately, and write down which actions fail without a link. Then check currency. Navatom records every quotation, purchase order and invoice in both transaction currency and base reporting currency. Delivery points vary too: PRIME Marine lets goods arrive onboard, at a warehouse or at an office, and Faromo keeps the delivery port visible on the record.

Tracking vendor terms, warranty and compliance

Supplier evaluation, compliance documents and defect claims belong in procurement. AMOS Procurement evaluates supplier performance and manages compliance documentation. NOZZLE lets crew and office staff complete supplier evaluations after each order and lets crew report defects in received goods, which builds data for supplier and product quality decisions.

Warranty coverage across components is different. A claim needs the equipment, the installed part, the vendor terms and the purchase record in view together, so procurement needs a link to equipment records rather than holding warranty on its own.

Keeping procurement data usable beyond one system

Procurement works on top of your maintenance, inventory and finance systems, and a unified schema lets other tools query its records without another connector. Rebuilding connectors each time a new tool arrives is the integration tax. We translate once into a machine-readable model, so procurement, maintenance and warranty records sit in the same structure.
